If this is your first time sourcing agricultural commodities directly from Indonesia, the process is more straightforward than it looks, here’s what actually happens from inquiry to delivery.

Step 1: Confirm Product, Grade, and Volume

Start with a clear specification: product, grade, target volume, and destination port. This is also the point to request samples if you haven’t worked with the supplier before.

Step 2: Get a Formal Quotation

A proper quotation should specify price per unit, incoterm (FOB or CIF), minimum order quantity, lead time, and payment terms, in writing, before moving forward.

Step 3: Agree Payment Terms

The two most common structures for first-time orders are T/T (telegraphic transfer, typically split as a deposit before production and balance before shipment) and L/C (letter of credit, which routes payment through both parties’ banks and adds a layer of security for larger transactions).

Production and Quality Inspection

Once payment terms are confirmed, the supplier begins sourcing/production. Reputable exporters will offer, or accept a request for, third-party pre-shipment inspection, where an independent inspector verifies quality and quantity before the container is sealed.

Step 5: Export Documentation

Before your shipment leaves Indonesia, the exporter should prepare a full documentation set: commercial invoice, packing list, Certificate of Origin, Phytosanitary Certificate (for plant-based products), and a Bill of Lading once loaded. Missing documentation is one of the most common causes of customs delays at the destination port.

Step 6: Shipping and Customs Clearance

Transit time depends on your destination and shipping route. On arrival, your customs broker will use the documentation set above to clear the shipment, which is why complete, accurate paperwork on the Indonesian side matters so much.
